Cancellation Policy

Please take a few moments to review our updated cancellation and late arrival policy. These policies are necessary to keep our clinic running smoothly and to be fair to our staff and other patients. We appreciate your understanding.

We require that all clients add Credit Card information when they book an appointment.  This is done through our scheduling app which stores your credit card information securely.

Please note that if your card is denied for a late cancellation fee, we must cancel any future appointments you have. You will receive an invoice that you can pay online.

Late Arrivals:

Please arrive with enough time before your appointment in order to prepare for your treatment. (ie. To check in and pay for your appointment, to use the bathroom, change clothes, etc.)

Please be mindful of NYC’s train delays, especially on weekends.  Leave extra time just in case. 
Patients who arrive past their appointment time may have to wait to be treated until the practitioner has availability. Our practitioners will do their best to squeeze you in; clients who arrive on time will be prioritized. 

Please note that after 15 minutes, you have missed your appointment and there is no guarantee that your acupuncturist will be able to fit you in. In those instances, it will be considered a missed appointment and incur a fee.

If you’re running late please contact us by phone or email so that we can best prepare for your arrival. We will do our best to treat everyone but please note that calling ahead does not guarantee that we can accommodate your arrival time. 

Cancelling/Rescheduling Online:

If you’re canceling more than 24 hours prior to your appointment time, you are responsible for canceling or rescheduling your appointment.  Please use your online account.

You can always cancel and/or reschedule your appointments online by signing into your account as long as it is 24 hours or more before your appointment time.  You can sign into your account by going to our website (opencarecommunity.com) and clicking ‘Book Now’.

Late Cancellations:

Late cancellations are any cancellation requests received less than 24 hours prior to the appointment time. Late cancellations are charged a late cancellation fee. This will be charged to your credit card file. We cannot make any exception with the 24 hour cutoff time. If your credit card is declined when we charge the late cancellation fee, your future appointments will be cancelled.

How much is the late cancellation fee?

  • For community acupuncture, the late cancellation fee is $60 for initial appointments and $45 for follow-up appointments. If you pay on the higher end of the sliding scale, and would like to do so for your cancellation fee, please feel free to add the extra amount to your next appointment payment and thank you for helping to sustain the clinic. 

  • For private and cosmetic appointments, you will be charged the full amount of the treatment.  

Please call us or email us when you need to cancel late. Our staff members put effort into preparing to treat you before you arrive.  Knowing that you won’t be coming allows us to manage our schedule better and serve others.  Contacting us shows that you appreciate our time and effort.  If you cannot contact us prior to your appointment because of an emergency, please contact us as soon as possible.

Late Cancellations due to Illness/Medical Emergency:  If you cancel late due to an illness or medical emergency, you will be able to book a “Make-Up Appointment”.  You will still be charged the late cancellation fee but you will be able to use it as credit for your Make-Up appointment. Please see our Make-Up policy below.

Late Cancellations due to Weather:
We take safety seriously at Open Care Community and don’t want anyone putting themselves at risk to get to the clinic when the weather is bad. Our decisions about whether to close due to inclement weather will usually be based on whether the trains are running and whether there are stay-at-home orders issued. In the event that we are canceling due to weather, we will call/email patients directly to let them know. If the clinic is open, patients who miss appointments or cancel late will be charged a cancellation fee. Since weather forecasts are generally issued a few days in advance, we ask patients who can not travel in bad weather to cancel within the 24 hour cancellation period. Make-Up Appointments:

Make-up appointments are for patients who cancel late due to an illness/medical emergency. These appointments can be booked only under “Make-Up Appointment” on our booking site. 

  • You must  ‘make-up’ your late cancellations appointments within two months of the late canceled appointment. The date of your Late Cancellation/No-Show will be recorded in your account. 

  • The Make-Up appointments are for rare occasions of late cancellation.  You can use the Make-Up appointment option only once during a 12 month period.  

  • Please note that ‘Make-Up Appointments’ will not be available on every shift. Often Make-Up appointments will not appear on the schedule until the day before or on the same day.

  • It is your responsibility to book Make-Up Appointments using your online account. Please do not make requests to book your Make-Up appointments via email or call. 

  • For those who late-cancel an INITIAL Appointment, your make-appointment does not have to be used for an initial visit. You may apply your late fee credit towards a FOLLOW-UP Appointment later on at a time that is convenient for you.
